B2B marketing automation made practical: five starter workflows for speed to lead, nurture, re-engagement, handoff and reporting, plus the CRM setup each needs.

B2B marketing automation pays off fastest when you start with a small set of workflows that fix obvious leaks: slow responses to new leads, prospects who go cold, and handoffs that fall between marketing and sales. Five starter workflows cover most of that ground, and each depends on a few specific CRM fields and rules being in place first. Build those foundations, then add complexity only when the basics run reliably.
Before you build: the CRM foundations
Most automation problems are data problems. A workflow can only act on what the CRM knows, so a short setup pass saves weeks of confusing results later.
- One record per person and company. Merge duplicates and set rules that prevent new ones, or workflows will send the same email twice and assign the same lead to two people.
- Lifecycle stages everyone agrees on. For example: subscriber, lead, marketing qualified, sales accepted, opportunity, customer. Write a one line definition for each.
- Lead source captured automatically. Hidden form fields and campaign parameters should record where each contact came from.
- Clear ownership rules. Who owns a new lead from Abu Dhabi, a large enterprise, or an existing customer?
- Consent recorded at the point of capture. Note what each person agreed to receive and when.
These foundations apply whichever platform you use. HubSpot, Microsoft Dynamics 365, Salesforce, Zoho and Odoo all handle them slightly differently, but the logic is the same.
Workflow 1: speed to lead
When a prospect asks for a demo, a quote or a call, the first response matters. Many B2B teams lose good leads simply because nobody replies until the next day.
What it does
- Triggers on a high intent form, such as demo or contact requests, not on every newsletter sign up.
- Assigns an owner immediately, using territory, company size or a rotation.
- Sends the prospect a short confirmation that says who will contact them and when.
- Creates a task for the owner and sends an internal alert by email, Teams or Slack.
- Escalates to a manager if the task is still open after a set period.
CRM setup it needs
Owner assignment rules, working hours that reflect your team (including the UAE weekend), a task type for first contact, and a field that records the time of first response so you can report on it.
Workflow 2: lead nurturing emails
Most people who download a guide or attend a webinar are not ready to buy. Lead nurturing emails keep you useful until they are, and engagement with those emails tells you who is warming up.
What it does
- Enrols contacts who took a mid stage offer but are not yet qualified.
- Sends a short sequence related to that offer's topic, spaced over several weeks.
- Adds engagement points when contacts click, revisit key pages or reply.
- Removes contacts as soon as they become qualified, book a meeting or unsubscribe.
CRM setup it needs
A record of which offer each contact took, lead scoring or at least a simple engagement count, suppression lists for customers and open opportunities, and goal criteria that end the sequence. Our guide to an inbound marketing strategy that improves lead quality explains how to design the offers and scoring behind this workflow.

Workflow 3: re-engagement
Every database has contacts who were once interested and then went quiet, plus closed lost deals that may be worth revisiting. A re-engagement workflow gives them a reason to come back, and cleans the list of those who will not.
What it does
- Triggers on inactivity, such as no opens, clicks or visits for a set period, or on a deal closed lost some months ago.
- Sends a small number of messages with something genuinely new: a new service, a relevant example, an event invitation.
- Returns contacts who respond to nurture or alerts the owner of a closed lost deal.
- Marks contacts who stay silent as inactive and stops marketing email to them.
CRM setup it needs
Last engagement dates, closed lost reasons captured as a picklist rather than open text, and an inactive status that excludes contacts from future sends. Keeping unresponsive contacts out of campaigns also protects your sending reputation.
Workflow 4: marketing to sales handoff
The handoff is where much B2B pipeline quietly disappears. Marketing marks a lead as qualified, sales never picks it up, and nobody notices.
What it does
- Triggers when a contact reaches the qualification threshold or takes a direct intent action.
- Changes the lifecycle stage, assigns the owner and creates a follow up task with a summary of recent activity.
- Asks sales to accept or reject the lead, with a required rejection reason.
- Returns rejected leads to nurture and reports the reasons back to marketing.
CRM setup it needs
An agreed service level for follow up, accepted and rejected statuses, a rejection reason picklist, and a view where managers can see unworked qualified leads. This is CRM automation at its most valuable, because it turns an informal agreement between teams into a process you can measure.
Hypothetical example: a Dubai based facilities management company finds that qualified leads wait days for a call because they arrive in a shared inbox. It builds a handoff workflow that assigns each lead by building type, creates a call task and alerts the owner on their phone. Unworked leads appear on a manager's dashboard each morning. The team can now see exactly how long follow up takes and which leads were never contacted.
Workflow 5: automated reporting
Automation should also tell you whether it is working. A reporting workflow keeps the numbers in front of the people who act on them.
What it does
- Sends a weekly summary of new leads, qualified leads, accepted leads and meetings booked, by source.
- Flags exceptions, such as qualified leads with no activity or a sudden drop in form submissions.
- Feeds a monthly view of opportunities and revenue by original source and campaign.
CRM setup it needs
Consistent source tracking, deal records linked to contacts and companies, and stage dates on opportunities. If sales close offline or over WhatsApp, make sure those outcomes are recorded in the CRM, or the report will undervalue the channels that started them.
HubSpot workflows, Dynamics 365 and other platforms
HubSpot workflows are a common starting point for B2B marketing teams. HubSpot's documentation describes triggers that enrol records automatically and actions such as sending email, assigning records, creating tasks and sending internal notifications. Workflow features vary by subscription, so confirm what your plan includes with HubSpot before designing around a specific action.
If your sales team already works in Microsoft Dynamics 365 or Odoo, it is usually better to automate there than to add a separate marketing tool that needs syncing. The five workflows above translate directly; only the names of the features change.
| Workflow | Main trigger | Key CRM requirement |
|---|---|---|
| Speed to lead | High intent form | Owner assignment rules |
| Nurture | Mid stage offer taken | Offer and engagement tracking |
| Re-engagement | Inactivity or closed lost deal | Last engagement date |
| Handoff | Qualification threshold | Accept and reject statuses |
| Reporting | Weekly schedule | Consistent source data |

Frequently asked questions
Start with speed to lead.
It affects the prospects most likely to buy, it is simple to build, and the result is easy to see: faster first responses and fewer forgotten enquiries. Once that runs reliably, add the handoff workflow, then nurture. Re-engagement and reporting can follow when you have enough contacts and history to make them worthwhile.
