Nursery bookings and fee payments in Dubai, built with child safety first.

Our childcare booking website development Dubai service builds the part of a nursery website that takes bookings and money: tour slots, registration deposits, term and monthly fees, extra sessions, late stays and holiday camps. Parents pick a date, pay by card or Apple Pay and get a clear confirmation. Your admissions and finance staff see every place, payment and refund in one admin area, instead of piecing it together from bank statements, spreadsheets and WhatsApp threads.

A nursery booking form collects details about very young children. We ask for the minimum at each step, keep health and collection information out of the payment flow, and agree with you who on your team can see what before a single screen is designed.

Built for
Nurseries and early childhood centres in Dubai that hold a KHDA permit, nursery groups with several branches, and providers running holiday camps or after nursery clubs.
Typical timeline
Products, payment provider and go live date are agreed in discovery, and launch is planned around your admissions calendar rather than in the middle of the September settling in weeks.
What you own
The site code, the booking and payments admin, the payment gateway merchant account and every family record, held in accounts your centre controls.

What the booking site handles

Every paid booking a Dubai nursery takes, handled online.

Paid bookings at a Dubai nursery rarely look like a simple shop checkout. A family relocating mid year wants a tour before their shipment arrives, then a place in the right age group, then a deposit to hold it. A working parent adds a late stay on Tuesday and an extra day before a business trip. In summer, children from other nurseries join a camp for a fortnight while siblings stay enrolled. Under Executive Council Resolution No. 35 of 2020, KHDA approves the care and education fees an early childhood centre charges, and a centre cannot change them without that approval, so every amount on the site must come from your approved fee schedule and nothing else. Childcare online booking system development in Dubai therefore starts with your fee list, your rooms and your ratios, and only then with screens. These are the parts we usually build, in the order parents meet them.

Explain your project
  • Tour and visit booking

Your admissions team publishes tour slots per branch, blocked out during nap time and meal times so visitors never walk into a sleeping room. Parents choose an in person visit or a video tour, give only the child's age group and preferred start month, and receive a confirmation with directions and parking notes for the branch.

Tours booked without a phone call and without collecting data you do not yet need.

  • Waiting lists and place offers

Places are tracked by room and age group against the capacity your ratios allow. When a place opens, the next family on the list receives an offer link with a time limit to accept. If they decline or the link expires, the offer moves on automatically and your team sees the full history.

Places filled in order, with a record of every offer made.

  • Registration deposits

A family secures a place by paying the registration deposit online. The amount shown is pulled from your approved fee schedule, the refund conditions appear before the pay button and again on the receipt, and passport, Emirates ID and vaccination documents go to a separate restricted store rather than through the checkout.

Deposits collected with the terms agreed in writing.

  • Term and monthly fee payments

Invoices are generated from each child's enrolled sessions and paid online through a secure payment page or a link sent by email. Parents download statements they can give to an employer that pays an education allowance, and corporate sponsors can be invoiced directly when they settle fees on the family's behalf.

Fees paid on time with less chasing from the office.

  • Extra sessions and late stays

Enrolled families add an extra day, early drop off or late pick up from their account. Each option is only bookable when the room still has the staff to cover it, and the charge is added to the next invoice or taken immediately, depending on how your finance team prefers to work.

Extra hours sold only when the room can safely take them.

  • Holiday camps and clubs

Summer, winter and spring camps open to children who are not enrolled, with a shorter sign up, age checks per camp group and sibling bookings in one checkout. Camp spaces count down live, and a full week closes itself so you never take payment for a place you cannot staff.

Camp revenue without a separate booking tool.

  • Cancellations, credits and refunds

Each product carries its own rules: a tour can be moved freely, a camp week has a cancellation window, and sessions missed through illness earn a credit if your parent contract allows it. Refunds go back to the original card from the admin area, with the reason and the staff member recorded.

Fewer disputes, because the rules were shown before payment.

  • Confirmations and reminders

Email, SMS and WhatsApp Business messages confirm bookings, remind parents of tours and flag invoices before they fall due. Message previews never show a child's full name, health details or room, because a lock screen notification can be read by anyone standing near the phone.

Parents prompted to act, with nothing sensitive on show.

  • Admin, finance and roles

One admin area shows the day's bookings, occupancy by room and payments matched to gateway payouts, with exports for your accounting software. Admissions staff see enquiries and offers, finance sees payments, and room leads see only who is booked in. Every change to a booking is logged against a named user.

Each person sees what their job needs and nothing more.

Who this is for

Four nursery setups we build booking sites for.

The right booking site depends on how many branches you run, which families you serve and what already sits behind the front desk. A single nursery in Al Barsha has different needs from a group with branches in Mirdif, Dubai Marina and Arabian Ranches. These are the four starting points we see most often, and the build each one tends to need. In every case, safeguarding and privacy decisions are made first, because they shape the forms, the messages and the admin roles.

01

A single nursery still taking fees by bank transfer and cheque

Your office spends the first week of each term matching transfers to children and chasing parents who forgot the reference. We replace that with invoices parents pay online, automatic receipts and a clear list of who has paid. Deposits and tours move online at the same time, and the first release stays small enough that your team can learn it during a normal week, not during the busiest admissions period of the year.

Most centres see the biggest change in the finance office, not on the website itself.

02

A nursery group with branches across Dubai

Families often tour two branches before choosing one, and staff move between sites. We build one booking engine with a calendar, rooms and capacity per branch, shared parent accounts and consolidated finance reports, while each branch manager controls their own tour slots and waiting list. Fee schedules stay separate per branch, so the site never shows one branch's approved fees on another's page.

03

A centre adding camps and clubs for outside families

Holiday camps bring children who have never attended your nursery, so the sign up must collect emergency contacts, allergies and authorised collectors before the first day, and do so securely. We build a camp checkout that is quick for the parent but complete for your team, with forms that close a set number of days before the camp starts so nothing is missing at drop off.

Camp forms are reviewed with your safeguarding lead before they open to the public.

04

A nursery whose management software has weak parent payments

Many centres already run attendance, daily reports and learning journals in a nursery management system they are happy with, but its payment options are limited or awkward for parents. We do not ask you to replace it. The booking site handles payments and syncs enrolments, sessions and paid invoices with your existing system through its API or scheduled exports.

Integration options depend on what your current software exposes.

Six steps from first meeting to a booking site parents trust.

  1. 01Discovery at your centreWe meet your manager, admissions lead and finance staff in person in Dubai, walk through how a family books and pays today, and list every product you charge for, from tours to late pick up.
  2. 02Data and safeguarding mapEvery field the site will collect is listed with a reason, a storage location and the roles allowed to see it. Anything a booking does not strictly need, such as medical history at tour stage, is removed.
  3. 03Booking and checkout designShort forms in English and Arabic, clear fee and refund wording, and checkout screens tested on the phones parents actually use while commuting or waiting at school gates.
  4. 04Payments and integrationsThe payment gateway, 3D Secure, Apple Pay, refund flows and sync with your nursery software are built and tested in sandbox mode before any real card is charged.
  5. 05Pilot with current familiesA small group of enrolled parents uses the site for a few weeks first. Their questions shape the final wording, and your staff practise refunds and offers before every family is invited.
  6. 06Launch and reviewWe go live, watch abandoned checkouts and support questions, and meet you to agree the next set of changes, such as new camp formats or another branch.

Technology

What we build this with.

We build on a stack your team can maintain, often Next.js or Laravel with a UAE acquiring gateway such as Network International, Checkout.com or Stripe. Card data never touches your servers; it is tokenised by the gateway, which keeps PCI DSS scope small.

Questions nurseries ask about taking bookings and payments online.

It depends on how many products, branches and integrations the first release includes.

A centre that needs tours, deposits and fee payments for one branch is a much smaller build than a group with camps, extra sessions and a sync to its nursery management system. We agree the scope and the dates in writing during discovery. We also plan go live away from the start of the academic year, because admissions and settling in leave your staff little time to learn a new system.
