Nursery apps that keep Dubai parents informed and children safe.

Our childcare management app development Dubai service builds parent apps, staff apps and admin systems for early childhood centres and nurseries regulated by the Knowledge and Human Development Authority. Attendance, pick up authorisation, daily reports, meals, naps, photos, fees and messages move out of paper diaries and group chats into one secure system, so parents get reliable updates and your team spends more of the day with the children.

Childcare software handles some of the most sensitive data a business can hold: children's photos, health notes, allergies and who is allowed to collect them. We treat safeguarding and privacy as the first requirement of the build, not a setting to configure afterwards. Every feature is checked against the question a safeguarding lead would ask first: who can see this, and why.

What the app can include

Built around a real nursery day in Dubai.

A Dubai nursery day starts with a drop off that might involve a parent, a nanny or a driver, and it ends with a pick up where staff must be certain the adult at the door is allowed to take that child. In between come meals, naps, nappy changes, activities, observations and the photos parents wait for. Families here are international and busy: many parents work long hours, some travel often, and a large share rely on household staff for collection. KHDA expects centres to keep proper records, follow safeguarding procedures and maintain clear communication with families, and it reviews centres against those expectations. A custom childcare management app built for Dubai should make those duties easier to meet and easier to evidence. These are the features we usually plan, ordered by how often staff touch them in a day.

Explain your project
  • Check in and check out

QR or PIN check in at the door, with time stamps, the name of the adult who dropped off and staff ratios updated live for each room. Late arrivals and absences reach the room lead straight away, and the register is always current if there is a fire drill or an emergency evacuation.

An accurate register at every minute of the day.

  • Authorised collection

Parents list who may collect their child, including nannies and drivers, with photos and Emirates ID details where the centre's policy requires them. One off permissions are approved in the app, and staff see a clear yes or no at the door. Any attempt by an unlisted adult alerts the manager immediately.

No child leaves with someone who is not approved.

  • Daily reports

Meals eaten, naps taken, nappy changes, moods and activities recorded on a tablet in a few taps, then shared with parents in one end of day summary rather than dozens of separate messages. Teachers spend seconds per entry instead of writing diaries by hand.

Parents get the full day, staff save writing time.

  • Health, allergy and medication records

Allergies, dietary needs such as halal or vegetarian, medical conditions and medication consent forms, with dose logs signed by the staff member who gave it. Allergy flags appear on meal screens and room lists, so a supply teacher sees them too, and incidents are recorded with parent acknowledgement.

Critical health information is in front of the right adult.

  • Photos and learning observations

Photos and short observations linked to the early years framework your centre follows, whether British, American, IB or Montessori. Images are shared only with that child's family, group photos respect the consent each family has given, and nothing is published publicly by default.

Parents see progress, privacy stays intact.

  • Parent messaging

Messaging between parents and the room team in English and Arabic, with manager oversight, office hours and announcements to a room or the whole centre. It replaces personal WhatsApp groups that leave staff phone numbers and children's photos on private devices.

Communication on the record, off personal phones.

  • Fees, invoices and payments

Term and monthly invoices, extra sessions, late pick up charges and payment by card or Apple Pay through a UAE payment gateway, with VAT treatment configured with your accountant and statements parents can download for their employers.

    Fewer chases for overdue fees.

  • Enrolment and waiting lists

Online enquiries, tours booked in the app, waiting lists by age group and digital enrolment packs that collect the documents your enrolment procedure requires, such as the child's passport, Emirates ID and vaccination record.

Enrolment admin handled before the first day.

  • Staff rota and ratios

Rotas, room assignments and live adult to child ratios, with staff qualification and training records stored against each person so managers can show inspectors who was on duty and what they are trained to do.

Ratios and staffing evidence in one view.

  • Incidents and emergency alerts

Accident and incident forms completed on the spot with body maps, witness names and first aid given, then sent to parents for acknowledgement. Managers can push urgent notices to every family at once, for example an early closure during heavy rain or a change to pick up arrangements, and see who has read them.

Every incident documented and every parent reached quickly.

Who this is for

Four kinds of Dubai childcare provider we build for.

Childcare in Dubai ranges from small single site nurseries in villas to groups with branches in Jumeirah, Dubai Marina, Al Barsha, Mirdif and Dubai Silicon Oasis, plus centres attached to schools. Each has different pressures, from a founder who runs everything personally to a head office that needs the same reports from eight branches. Drop off traffic on Sheikh Zayed Road, summer camps when nurseries open their doors to older siblings, and families who move between Dubai and home countries during the long summer all shape what the app needs to handle. Here is how we approach the most common cases.

01

A single nursery outgrowing paper and WhatsApp

Many independent nurseries run on printed registers, a messaging group per room and an accounting tool. That works until a parent complains about a missed allergy or a photo shared with the wrong family. We build a focused first version covering check in, collection, daily reports and messaging, so your staff adopt it in a week and parents notice the difference straight away. Fees and enrolment can follow in a second release once the daily routine is running smoothly on the app.

Start with the four features staff use hourly.

02

A nursery group with several branches

Groups need consistency: the same policies, report formats and parent experience in every branch, with head office able to compare occupancy, fees collected and incidents across sites. We build shared rules with branch level permissions, so a branch manager sees only their own centre and the operations team sees everything. New branches can be added by the operations team without developer help, using the same templates and settings.

03

Early years provision inside a school

Foundation Stage and pre kindergarten classes often sit within a wider school system. We connect the childcare app to the school's management information system, so families do not juggle two logins, and early years staff still get the daily care tools that a general school app lacks. Parents with older siblings in the main school see both children in one place.

Integration first, replacement only if needed.

04

A provider replacing an off the shelf platform

Packaged nursery software is often designed for UK or US rules, stores data overseas and handles Arabic badly. If yours no longer fits, we plan a migration of child records, families and history into a custom system hosted in a UAE cloud region, with a cut over date agreed around the school calendar. Old and new systems can run side by side for a short period so nothing is lost.

From first workshop to a nursery that runs on the app.

  1. 01On site discoveryWe spend time in your Dubai centre, watching drop off, room routines and pick up, and talk to teachers, the manager and a few parents before writing the scope.
  2. 02Safeguarding and privacy planData roles, consent rules, photo policies, collection rules and retention periods are agreed with your safeguarding lead before any screen is designed.
  3. 03Design with staffTablet screens tested with real teachers for speed with one hand free, and parent screens tested in English and Arabic on the phones families actually use.
  4. 04Build and integrateParent app, staff app and admin system built together, connected to your payment gateway, accounting software and any school system you already run.
  5. 05Pilot in one roomOne room or one branch runs the app for a short pilot, we fix what staff and parents report in that period, and only then do we roll out to the rest of the centre or group.
  6. 06Support through the yearUpdates timed around term dates, new features as your policies change, and help preparing the records KHDA asks to see.

Technology

What we build this with.

Cross platform apps for iOS and Android, a tablet optimised staff app, a web admin system and a secure backend hosted in a UAE cloud region, with encryption and access logging for every child record. Staff tablets can be locked to the nursery app, so they cannot be used to store photos elsewhere.

Questions nursery owners ask us.

KHDA regulates early childhood centres in Dubai; the app itself is not licensed.

Early childhood centres in Dubai operate under a permit from the Knowledge and Human Development Authority, alongside a commercial licence. KHDA does not approve software, but it expects centres to keep proper records, follow safeguarding and health procedures and communicate well with families. We design the app so those records are complete, easy to find and ready to show during a visit. Your own regulatory adviser should confirm what your permit requires.
